GrantPulse stores the following information to provide our service:

• Grant Data: Grant names, funding sources, budget allocations, and grant-specific documentation
• Financial Records: Expense records, receipts, transaction details, and budget tracking information
• Program Information: Program names, activities, team assignments, and related documentation
• Usage Data: Login times, features used, and system interactions to improve service quality

We do not sell your data. We do not share your grant or financial information with third parties for marketing purposes. Your data is used solely to provide and improve the GrantPulse service.

You Own Your Data

Your organization retains full ownership of all data you enter into GrantPulse. This includes grant information, financial records, program documentation, and all associated files.

GrantPulse acts as a data processor on your behalf. We provide the tools and infrastructure to store and manage your information, but the data belongs to you and your organization.

Your Rights: Export and Delete

You have complete control over your data:

• Export Your Data: At any time, you can request a complete export of your organization's data in standard formats (CSV, PDF, JSON). We will provide this within a reasonable timeframe (typically within two business days).
• Delete Your Data: You can request deletion of your account and all associated data. Upon confirmation, we will permanently delete your information within 30 days, except where retention is required by law.
• Correct Your Data: You can update or correct any information directly in the system at any time.
• Leave Anytime: There are no lock-ins. If GrantPulse is not the right fit, you can export your data and close your account with no penalties.

Security and Protection

We take data security seriously. GrantPulse is designed with multiple layers of protection to safeguard your financial and grant information:

• Encryption in Transit: All data transmitted between your browser and our servers is encrypted using industry-standard TLS/SSL protocols.
• Encryption at Rest: Your data is encrypted when stored in our databases using AES-256 encryption.
• Access Controls: Role-based permissions ensure team members only see information relevant to their work. Organization data is isolated and never shared between customers.
• Regular Backups: We maintain regular encrypted backups to protect against data loss.
• Secure Infrastructure: GrantPulse runs on enterprise-grade cloud infrastructure with built-in security monitoring and DDoS protection.
• Limited Access: GrantPulse team members can only access customer data when explicitly requested for support purposes and with proper authorization.

While no system can guarantee absolute security, we continuously monitor and update our security practices to protect your information.

Data Retention

We retain your data for as long as your account is active or as needed to provide services. If you close your account, we will delete your data within 30 days unless retention is required by law or for legitimate business purposes (such as resolving disputes or enforcing our terms).

Third-Party Services

GrantPulse uses carefully selected third-party services to operate:

• Cloud hosting and infrastructure providers
• Email delivery services for system notifications
• Analytics services to understand how the product is used (anonymized data only)

All third-party providers are required to maintain appropriate security standards and are contractually prohibited from using your data for their own purposes.

We may update this Privacy Policy from time to time. If we make significant changes, we will notify you by email and provide a summary of what changed. Continued use of GrantPulse after changes are posted constitutes acceptance of the updated policy.
